Position Overview:
The Legal Assistant will provide essential support to a team of attorneys through effective calendar management, communication oversight, meeting organization, and various administrative tasks. This role necessitates a high degree of professionalism, confidentiality, and tact as you assist leadership in achieving the organization’s strategic objectives.
Key Responsibilities:
- Oversee intricate scheduling and calendar management for up to five attorneys, ensuring meeting and appointment coordination alongside shifting priorities.
- Proactively identify the needs of attorneys and the department while managing various deadlines and tasks simultaneously.
- Evaluate, prioritize, and relay communications with a sense of urgency and professionalism.
- Respond to calls directed to the Legal Department, offering exceptional service to both internal and external stakeholders.
- Compose, edit, proofread, and format various documents, presentations, and reports utilizing Microsoft Office tools.
- Manage logistics for meetings, including sending invites, preparing agendas, gathering materials, coordinating room setups, providing A/V support, and documenting meeting minutes.
- Assist attorneys and legal personnel with administrative tasks such as arranging travel, processing expense reports, generating purchase orders, and facilitating reimbursements.
- Maintain both physical and electronic filing systems, ensuring the secure handling of sensitive information.
- Support operational functions of the department through office coordination, mail processing, managing supplies, and maintaining shared resources.
- Effectively utilize and adapt to enterprise systems and technological platforms, including Workday and other internal management systems.
- Organize and archive documents in compliance with retention standards and long-term storage protocols.
- Work collaboratively within a team-oriented setting while demonstrating sound judgment, professionalism, and independence in managing multiple priorities.
Qualifications:
- High School Diploma or GED is required.
- 3–5 years of relevant office or administrative experience is required.
- Previous experience in an Executive Assistant, Administrative Assistant, or similar corporate support position is preferred.
- Experience assisting multiple executives and/or attorneys is preferred.
- Legal administrative experience is a plus, though not mandatory.
- Excellent organizational, multitasking, communication, and problem-solving abilities are essential.
- Capability to prioritize tasks efficiently in a dynamic professional environment.
- Proficient in Microsoft Office applications, including Outlook, Excel, and PowerPoint.
- Exhibit a professional demeanor with a strong focus on detail, confidentiality, and discretion.
