The Business Intake & Conflicts Manager will oversee the New Business Intake and Conflicts department within the firm. This role is crucial for ensuring the smooth, precise, and compliant onboarding of new clients, matters, and lateral attorneys. It requires a blend of strategic leadership and direct management of conflicts analysis, research, and intake operations. This position is instrumental in protecting the firm’s interests and maintaining database integrity, while also facilitating business expansion through efficient intake and conflict resolution procedures.
Key Responsibilities for the Business Intake & Conflicts Manager
- Lead, mentor, and manage a team specializing in conflicts and new business intake.
- Oversee daily operations, including task delegation, monitoring of workloads, and handling escalations.
- Set and monitor service level agreements, response times, and quality metrics.
- Manage the recruitment, onboarding, training, and performance evaluations for team members.
- Conduct and oversee conflict of interest searches related to new business, lateral attorney hires, and matter modifications.
- Ensure adherence to relevant professional conduct laws and internal firm guidelines.
- Identify and escalate high-risk or sensitive cases to the General Counsel’s Office.
- Manage the creation and supervision of ethical walls.
- Oversee the new client and matter intake protocols, ensuring accuracy, thoroughness, and compliance.
- Maintain the integrity and precision of client and matter information across firm systems.
- Collaborate with Finance, Billing, and other departments to ensure proper opening of matters and consistency with billing procedures.
- Address inquiries from attorneys and staff regarding conflicts, intake, and matter management.
- Act as a subject matter expert for Intapp Conflicts and Intake (or comparable platforms), including workflow management and system administration.
- Ensure data quality and oversee system permissions, roles, and approval processes.
- Generate reports on workflow, risks, and operational effectiveness.
- Collaborate with firm leadership to formulate and execute policies, procedures, and industry best practices.
- Identify opportunities for workflow enhancements to boost accuracy and efficiency.
- Lead or assist with strategic initiatives including audits, lateral integrations, and system upgrades.
- Ensure uniformity across various offices and practice groups regarding conflicts and intake methods.
Qualifications for the Business Intake & Conflicts Manager
- Bachelor’s degree required; Juris Doctor or advanced degree desirable.
- At least 5 years of experience in law firm conflicts, intake, or related risk management areas.
- Minimum 2-3 years of management experience within a law firm context.
- In-depth understanding of rules governing professional responsibility and conflict of interest evaluations.
- Proficient in managing submissions concerning lateral conflicts.
- Strongly preferred: experience with Intapp Conflicts and Intake software.
- Familiarity with systems like NetDocs, Aderant, or similar platforms is a plus.
- Experience with legal and corporate research tools (e.g., D&B).
- Strong analytical skills and capabilities in risk assessment.
- Meticulous attention to detail and a strong commitment to data quality.
- Proven ability to juggle multiple priorities in a fast-paced setting.
- Eagerness to learn and adopt new technologies.
- Ability to work independently and with minimal supervision.
- Skilled in building and sustaining effective working relationships with attorneys and firm staff.
