Position Summary for Executive Legal Assistant:
The Executive Legal Assistant delivers high-level administrative and legal support to a busy attorney focused on transactional law, while also providing assistance to other members of the legal team as needed. This role is ideal for a proactive and intelligent individual capable of managing complex scheduling, balancing multiple responsibilities, and working independently within a fast-paced environment.

Key Responsibilities for Executive Legal Assistant:

  • Drafting, revising, and structuring legal and corporate documents; overseeing the attorney’s time tracking.
  • Managing reimbursement processes for expenses.
  • Coordinating comprehensive travel arrangements.
  • Facilitating client onboarding processes.
  • Conducting document comparisons.
  • Preparing tables of contents.
  • Assisting in billing tasks that involve document assessment and alterations; collaborating proficiently with legal colleagues, administrative personnel, and internal teams.

Success in this position demands strong interpersonal skills and the ability to collaborate across different teams. The perfect candidate will be exceptionally organized, detail-oriented, adaptable, and adept at anticipating needs while effectively managing changing priorities and maintaining performance under pressure.

Qualifications:

  • Minimum of 8-10 years of experience in executive support and/or legal administrative positions.
  • Advanced proficiency in managing intricate calendars, including forecasting requirements and organizing complex meeting schedules and travel logistics.
  • Exceptional written communication skills with a strong emphasis on editing and proofreading; great attention to detail is essential.
  • Outstanding interpersonal skills coupled with a forward-thinking, solution-oriented mindset.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF editing tools (such as Kofax), including advanced document formatting capabilities.
  • Familiarity with document management systems (e.g., NetDocuments) and billing/timekeeping software (e.g., Aderant).
  • Proven ability to handle confidential information with care, exercising sound judgment and accuracy.
  • A high school diploma or equivalent is required.
